Learning plan report (Custom report)

This custom report provides you with user progress and completion data for selected learning plans and includes key details such as a user's ID, learning status (Not started, In progress, or Completed), progress score, deadline and expiry status, and the learning plan name and ID.

Example: You might generate this report as a way of keeping track of completions or as proof that users have completed important learning plans.

When creating a report for users who have the status of Not started, please filter the report by a specific community or learning plan first, and then filter it by User learning status = Not started. This ensures that the report is not too long.

Standard fields included in the report

The following standard fields are included in this report:

  • The fields listed below are always included in this report and cannot be removed when creating the report.

  • The list below does not include any custom profile fields that may be included in the report that are specific to your organisation or fields that can be added optionally during creation. For example, your organisation may have custom fields such as Location, Department, or Job Title.

LP Assignment type

How the user was assigned to the learning plan in the Visibility tab.

The following statuses are available:

  • Community: The user is a member of a community that has been assigned to the learning plan.

  • Audience: The user is part of an audience that has been assigned to the learning plan.

  • User: The user was specifically assigned to the learning plan.

Community

User learning status

The user’s learning plan progress.

The following statuses are available:

  • Not started: The learning plan is assigned/made available to the user through a community but they have not completed any of the items within it (this is only visible if the report is filtered by community or learning plan).

  • In progress: The user has only completed some of the items in the learning plan.

  • Completed: The user has completed all items in the learning plan. This includes users who are no longer assigned to the learning plan but have completed it.

Note: If items are added to the learning plan after the user has completed it, the user’s status remains as Completed in the report.

Completed

Availability date

The date the learning plan became available to the user. 

  • If the learning plan was assigned to the user individually, the date of assignment is displayed.

  • If the learning plan was not assigned, and the user was already a member of the community before the learning plan was created, the learning plan creation date is displayed.   

  • If the learning plan was not assigned, and the user was not a member of the community before the learning plan was created, the date in which the user was added to the community is displayed. 

  • If the user has no access to the community in which the learning plan exists, then this remains empty.

Last access date

The date the user last accessed the learning plan.

Last completed date

The date the user completed the learning plan.

Progress score

The user’s progress score for the learning plan.

This is defined by the number of completed items divided by the number of available items in the learning plan.

Deadline status

The user’s deadline status.

The following statuses are available:

  • Disabled: A deadline has not been enabled for the learning plan.

  • In progress: A deadline has been enabled for the learning plan but the deadline is due in the future.

  • Missed: A deadline has been enabled for the learning plan, however, the user has not completed it before or on the deadline date.

  • Completed: A deadline has been enabled for the learning plan and the user has completed it before or on the deadline date.

  • N/A: N/A is displayed when the reset date has passed.

In progress

Deadline date

The deadline date that has been set.

Expiry date

The date on which the learning plan has been set to expire.

Expiry status

The expiry status for the learning plan.

The following statuses are available:

  • Disabled: The learning plan has not been set to expire, meaning the user does not have to retake the learning plan.

  • Upcoming expiry: The learning plan reset date is in the past, the learning plan is due to expire on a future date, and the user is currently incomplete.

  • Completed: Both the reset and expiry dates are due in the future.

  • Overdue: The user has missed the expiry date for the learning plan.

  • N/A: N/A is shown when the user is first assigned to the learning plan. When the user completes the learning plan for the very first time, a reset and expiry date and status are given to them.

Completed

Reset date

The date on which the learning plan is due to reset.

User assignment status

How each user has been assigned to a learning plan.

The following statuses are available:

  • Community: The user is a member of a community assigned to the learning plan.

  • Audience: The user is a member of an audience assigned to the learning plan.

  • User: The user was specifically assigned to the learning plan.

  • Not assigned: The user has completed the content in the learning plan but was never officially assigned to it, or has had their assignment removed.
